CSM Accounts Dealer User Agreement
Draft agreement for dealer signup and portal use. This should be reviewed by a qualified attorney before public launch.
1. Authorized dealer account
The person creating the company master account represents that they are authorized to sign up and manage the dealer company. The company master is responsible for all users created under the dealer company, including dealer managers, dispatchers, technicians, and sales representatives.
2. Subscription tiers and employee limits
Dealer subscription tiers limit the number of active company logins. Disabled/deleted users may remain in records for audit history but do not count as active users. Current tiers are Starter up to 5 active users, Growth up to 10 active users, Professional up to 20 active users, and a custom tier whose price and employee cap are set by the platform admin.
3. Dealer responsibility for information
The dealer company is responsible for the accuracy of customer information, addresses, contacts, passcodes, zones, account numbers, customer signatures, technician signatures, and all data submitted through the portal. CSM Accounts is a workflow and form-generation tool and does not replace dealer review or Central Station Monitoring acceptance requirements.
4. Confidentiality and account security
Dealers must keep login credentials confidential, promptly disable users who leave the company, and protect customer account data. Each user should have their own login. Shared logins are not recommended because they reduce audit accuracy and may expose customer information.
5. Alarm permit and authority information
Permit and authority lookup information is provided as a dealer convenience. Permit rules, police/fire agency information, and local requirements may change. Dealers remain responsible for confirming permit requirements with the proper city, county, sheriff, or local authority before relying on a permit link or instruction.
6. Payments, notices, and suspension
When Square billing is enabled, the company master separately authorizes the displayed monthly package price on the secure billing page. The first charge is scheduled for the day after payment setup and then repeats monthly on that billing date until canceled. Card details are tokenized by Square; this portal does not store the full card number or security code. Square cancellation stops renewal at the end of the current paid billing period, while portal access may be deactivated immediately. If payment fails or a card expires, notices may be sent and service may be suspended until billing is updated.
7. Acceptable use
The portal may only be used for legitimate dealer workflow, CSM account setup/change forms, permit assistance, and related business records. Users may not upload malicious files, attempt unauthorized access, misuse other dealer data, or use the service for unlawful purposes.
8. Data retention and audit records
The portal may retain dealer records, submitted forms, work orders, logs, email delivery records, signatures, and audit history for business, compliance, troubleshooting, billing, and dispute-resolution purposes. Deleted/disabled users may remain visible in audit history.
9. Service limitations
The portal is provided as a software tool. Email delivery, third-party hosting, internet connectivity, local permit sites, browser behavior, and spreadsheet compatibility may depend on outside services. Dealers should verify critical submissions and maintain their own business procedures.
10. Review before launch
This agreement is a working draft for testing and development. Before paid public launch, the final agreement should be reviewed and adjusted by a qualified attorney for the jurisdictions where the service is offered.
